Job Summary
The Assistant Manager, Project Coordination leads and drives end-to-end store and brand projects with a strong focus on momentum, design-quality, and commercial delivery. You will own project strategy and execution-anticipating risks, ensuring design deliverables, coordinating cross-functional stakeholders (Design, VM, Windows, Purchasing, Operations), and holding suppliers and general contractors to consistent quality, budget and timeline standards.
Roles & Responsibilities:
- Project Strategy & Momentum
- Define project plans and execution strategies that prioritize critical-path activities and ensure steady momentum from initiation to close.
- Anticipate obstacles (permitting, MEP clashes, procurement lead times) and create mitigation plans, contingency budgets, and decision timelines.
- Drive weekly alignment rituals (commercial checkpoints, design reviews, site progress huddles) to maintain pace and visibility.
- End-to-End Project Delivery & Quality Control
- Own full project lifecycle for multiple store projects concurrently, ensuring delivery on time, on budget, and to design intent.
- Translate design intent into robust technical packages and checklists; validate design deliverables (drawings, FF&E specs, shop drawings) for buildability before issuing to GCs.
- Conduct staged quality checkpoints (pre-construction, mid-build, pre-handover) with documented sign-offs and punch-list management.
- Design Deliverables & Cross-functional Coordination
- Act as the primary liaison between Design, Visual Merchandising, Windows & Display teams, and external consultants to coordinate design intent, VM rollouts, and launch sequencing.
- Ensure windows/displays and VM requirements are integrated into project timelines and procurement plans.
- Facilitate design review sessions and maintain a deliverables register with deadlines and owners.
- Procurement, Supplier & GC Performance Management
- Advise on procurement strategy, prepare tender documentation, evaluate bids, and recommend supplier/GC selection with risk and value assessments.
- Implement supplier onboarding standards, KPIs, and a performance scorecard (quality, delivery, responsiveness, cost variance).
- Lead supplier and GC performance reviews and drive corrective action plans and continuous improvement initiatives.
- Budgeting, Commercial Control & Value Engineering
- Prepare and manage project budgets, track cost-to-complete, and report on variances.
- Proactively identify value-engineering opportunities that preserve design intent while improving margins or timelines.
- Approve or escalate change orders per governance and maintain a transparent change-log.
- Risk Management & Problem Anticipation
- Maintain a live risk register for each project with clear owners, mitigation actions, and escalation paths.
- Run regular “what-if” scenario planning for critical projects to reduce surprises and accelerate decision-making.
- Ensure compliance with local regulations, safety, and technical standards through checks and third-party verifications where needed.
- Site Coordination & Handover
- Coordinate site teams, consultants and contractors to ensure smooth installation, testing, and commissioning.
- Oversee pre-handover checks, operations training handovers, and delivery of store operations manuals and asset registers.
- Ensure FF&E, technical, and VM installations meet the launch plan and retail readiness criteria.
- Reporting, Documentation & Stakeholder Communication
- Produce concise weekly progress reports, risk/issue logs, and executive summaries for Global Retail Development and key stakeholders.
- Maintain project tracking records: minutes, progress photos, RFI logs, test certificates, and final close-out documentation.
- Ensure clarity of responsibilities, timelines, and decisions with a single source of truth (project dashboard).
- Continuous Improvement & Best Practices
- Capture lessons learned and run post-mortems; create playbooks or templates to accelerate future projects.
- Work with Purchasing and Design to refine specs that improve supplier outcomes and reduce rework.
- Introduce improvements in procurement, GC management, and build methodologies to raise quality and shorten lead times.
Qualifications & Skills:
- Bachelor’s degree in Project/Construction/Facilities Management, Architecture, Interior Design, or equivalent.
- 6+ years’ experience in retail-store project coordination / project management; experience with luxury retail or brand rollouts preferred.
- Proficient with construction and design drawings, FF&E specifications, and shop drawing review.
- Excellent stakeholder management skills across Design, VM, Commercial, Purchasing, and Operations.
- Strong budgeting and commercial control experience; comfortable with cost tracking and change management.
- Proficiency in AutoCAD, SketchUp, MS Project (or equivalent), and MS PowerPoint/Excel.
- Proven problem-solving skills, decisive, anticipatory mindset, and high attention to detail.
- Able to travel to sites frequently and manage multiple time-sensitive projects.
