About the role
We are looking for a proactive and detail-oriented Online Administrator to manage customer- facing operations for both the MODU and Keimen Kids brands. You will be the first point of contact for all online inquiries, ensuring a seamless and positive experience from first message to final delivery.

Key Responsibilities

  • Customer Inquiries & Support
    • Respond promptly and professionally to all customer inquiries across email, social media, and any live chat platforms for both MODU and Keimen Kids brands.
    • Handle pre-sale questions, product information requests, complaints, and after-sale support.
    • Maintain a friendly, brand-consistent tone in all communications.
  • Order Management
    • Monitor and process online orders accurately and in a timely manner.
    • Track order statuses and proactively update customers on their orders.
    • Handle order amendments, cancellations, and returns/exchanges in line with company policy.
    • Resolve order discrepancies and escalate issues where necessary.
  • Warehouse Coordination
    • Act as the key liaison between the customer service function and the warehouse team.
    • Communicate order priorities, special handling requests, and urgent dispatches to the warehouse.
    • Follow up on stock availability, dispatch confirmations, and delivery timelines.
    • Flag and resolve fulfilment issues such as damaged goods, mispicks, or delays.
  • Administration & Reporting
    • Maintain accurate records of customer interactions, orders, and resolutions.
    • Assist in updating product listings, FAQs, and customer-facing content as needed.
    • Generate regular reports on inquiry volumes, order status, and fulfilment performance.
    • Support the team with any ad-hoc administrative tasks related to both brands.

What we’re looking for

  • Previous experience in an online customer service, e-commerce, or administrative role.
  • Excellent written communication skills with strong attention to detail.
  • Ability to multitask and manage priorities across two brands simultaneously.
  • Comfortable working with e-commerce platforms (e.g. Shopify, WooCommerce) and order management systems.
  • A team player who can collaborate effectively with warehouse and operations teams.
  • Problem-solving mindset with a customer-first attitude.
  • Experience with tools such as Gorgias, Zendesk, or similar helpdesk software is a plus.
