Job Overview
The Inventory Manager is responsible for end-to-end inventory management, ensuring accurate stock availability, smooth stock flow, and consistent quality standards across all YVIS channels (warehouse, retail stores, and online platforms).

Key Responsibilities

  • Inventory Planning & Stock Availability
    • Monitor real-time stock availability across warehouse, retail stores, and all online channels.
    • Plan optimal stock levels to support daily sales, campaigns, and product launches.
    • Set and manage minimum stock, safety stock, and reorder points by SKU.
    • Identify and flag low-stock, out-of-stock, and overstock risks early.
    • Coordinate stock allocation and transfers between warehouse and stores.
  • Stock In / Receiving Control & System Upload
    • Track and manage all inbound stock from suppliers and production.
    • Verify received quantity, SKU, and condition upon arrival.
    • Upload and maintain product details in inventory systems (SKU, barcode, cost, images, attributes).
    • Ensure inventory records are updated accurately and on time.
    • Coordinate with QC to release only approved stock for sale.
    • Investigate and resolve receiving discrepancies.
  • Product Cost & Inventory Valuation
    • Work closely with Sourcing and Finance teams to verify product costs and inventory valuation.
    • Check and reconcile stock-in quantities and costs against purchase orders and supplier invoices.
    • Calculate actual product cost using real exchange rates at the time of payment or stock receipt.
    • Ensure accurate inventory valuation in the system for financial reporting and closing.
  • Quality Control (QC) Management
    • Work closely with the QC team to establish and maintain quality standards for products and packaging.
    • Conduct incoming quality inspections and defect checks for all received goods.
    • Record, track, and classify defects by product, batch, and supplier.
    • Coordinate rework, repair, replacement, or rejection processes with suppliers.
    • Monitor defect trends and escalate recurring quality issues.
    • Ensure only QC-approved products are released into inventory and made available for sale.
  • Reporting & Data Accuracy
    • Prepare regular reports:
      • Stock availability & stock-in status
      • Aging stock & inventory turnover
      • Product cost & margin analysis
      • QC defect and supplier performance
    • Ensure accuracy between physical stock and system records.
    • Support audits and internal controls.
    • Maintain clear documentation and data integrity.

Qualifications

  • Bachelor’s degree in Supply Chain, Business Administration, Logistics, Operations Management, or related fields.
  • 2–5 years of experience in inventory management, operations, supply chain, or quality control, preferably in retail, fashion, jewelry, or consumer goods.
  • Strong proficiency in Excel / Google Sheets (formulas, pivot tables, data tracking).
  • Experience working with inventory systems, ERP, POS, or marketplace backends.
  • Basic understanding of product costing, inventory valuation, and exchange rate impact.
  • Familiar with stock-in processes, QC inspections, and defect tracking.
  • Highly detail-oriented, accurate, and well-organized.
  • Strong coordination and communication skills to work with Sourcing, Finance, QC, Warehouse, and Retail teams.
  • Able to manage multiple tasks and work effectively in a fast-paced, growing environment.
