Role Overview:
The Stock Administrator will be responsible for managing, checking, organizing, and controlling The Freckled Market’s inventory to ensure that all stock is accurate, sufficient, updated, and ready for use across all business channels. This role requires strong attention to detail, good organization skills, and the ability to handle both stock control and administrative tasks. The ideal candidate should be responsible, systematic, and comfortable working with product records, stock documents, inventory reports, and daily coordination between the office, warehouse, store, and production-related teams.
The Stock Administrator will play an important role in making sure that all products are properly received, recorded, stored, prepared, and reported, while supporting the team with daily admin work related to stock, product movement, and internal operations.

Key Responsibilities:
- Stock Receiving & Product Checking
- Receive and check incoming products, including new stock, returned items, transferred items, and other product-related deliveries.
- Count product quantities accurately and ensure that the received stock matches the purchase order (PO), delivery note, invoice, or related documents.
- Check product details such as SKU, color, size, quantity, condition, and packaging.
- Identify and report any missing items, wrong items, damaged products, or quantity differences to the relevant team.
- Record received stock into the company system, stock file, or internal tracking document.
- Organize products after receiving and ensure items are properly stored in the correct location.
- Stock Control & Inventory Management
- Monitor and control stock movement to ensure inventory accuracy.
- Update stock records for incoming products, outgoing products, returns, transfers, and adjustments.
- Conduct regular stock counts to compare physical stock with system records.
- Support weekly, monthly, and ad hoc stock checks when required.
- Track low-stock items and report to the team for restocking or business planning.
- Maintain stock organization to ensure products are easy to find, count, prepare, and transfer.
- Help prevent stock loss, product mismatch, and inventory errors through proper checking and documentation.
- Preparation & Stock Transfer
- Prepare products according to stock request forms, transfer lists, sales orders, or internal instructions.
- Arrange products for delivery to retail stores, pop-up locations, warehouse, customers, or internal teams.
- Check product quantity, SKU, color, size, and condition before sending out.
- Pack, label, and prepare items properly before transfer or delivery.
- Coordinate with the team to ensure stock preparation is completed within the required timeline.
- Keep records of all product transfers and outgoing stock movements.
- Documentation & Administrative Work
- Prepare, organize, and maintain stock-related documents, including PO records, delivery notes, invoices, stock transfer forms, return records, and stock adjustment documents.
- Update internal stock files, spreadsheets, or inventory systems accurately and consistently.
- Support daily administrative tasks related to stock, product movement, order preparation, and internal operations.
- File and organize documents properly for future checking and reference.
- Follow up on missing documents, stock records, or required information from related teams or vendors.
- Assist with data entry, document checking, stock list preparation, and internal admin coordination.
- Ensure all stock documents are clear, complete, and easy for the team to review.
- Stock Reports & Internal Updates
- Prepare weekly and monthly stock reports for the team.
- Summarize stock movement, including received items, outgoing items, returned items, transferred items, and remaining inventory.
- Report stock issues, damaged products, missing items, or inventory mismatches in a clear and timely manner.
- Support the team with stock data for sales planning, product planning, campaign launches, and store allocation.
- Maintain accurate records so the team can make decisions based on updated stock information.
- Coordination with Internal Teams & External Parties
- Coordinate with the office team, store team, warehouse, logistics team, suppliers, and production team when needed.
- Communicate stock status, delivery updates, product issues, and document requirements clearly.
- Support the team in following up with vendors or suppliers regarding product delivery, missing items, or stock-related documents.
- Assist with stock preparation for product launches, pop-ups, events, campaigns, and store replenishment.
- Work closely with the owner and related team members to ensure stock operations run smoothly.
- General Office & Operation Support
- Support general office administration related to product, stock, and daily operations.
- Help organize product samples, office stock, packaging materials, and related supplies.
- Assist with preparing items for shoots, campaigns, influencer seeding, retail display, or internal use.
- Maintain a clean and organized stock area, product area, and working space.
- Support other operation tasks assigned by the owner or management team.
Required Skills & Qualifications:
- Bachelor’s degree or vocational certificate in Business Administration, Logistics, Supply Chain, Retail Management, Accounting, or related fields.
- Minimum 1 to 3 years of experience in stock administration, inventory control, warehouse coordination, retail operations, admin support, or related fields.
- Good understanding of stock control, product checking, inventory records, and document handling.
- Able to check product details carefully, including SKU, color, size, quantity, and product condition.
- Able to use Microsoft Excel, Google Sheets, or inventory systems for stock tracking and reporting.
- Strong attention to detail and accuracy in counting, recording, and checking documents.
- Organized, responsible, punctual, and able to work within deadlines.
- Able to manage multiple tasks at the same time.
- Able to communicate clearly with internal teams, stores, warehouses, suppliers, and logistics partners.
- Comfortable with administrative work, document filing, data entry, and daily operation support.
- Able to work independently and follow up on tasks until completion.
- Comfortable working in a small brand environment where the role requires both stock control and hands-on admin support.
Preferred Qualifications:
- Experience working with fashion, lifestyle, retail, e-commerce, warehouse, or product-based businesses.
- Experience with stock systems, POS systems, Shopify, online sales platforms, or warehouse management tools is a plus.
- Basic understanding of fashion products, sizing, colorways, SKUs, and retail stock movement is a plus.
- Experience preparing stock for retail stores, pop-ups, events, or online orders is preferred.
- Able to identify stock issues and suggest practical solutions.
- Flexible, proactive, and willing to support other operation tasks when needed.
Working Hours and Location:
- The Employee will work Monday to Friday, with hybrid working conditions:
- 3 days in-office. ( Monday – Wednesday )
- Can 2 days remote work (work-from-home)
- Working hours: 10 AM to 5 PM with a one-hour break included. with Unlimited Snacks – Yes, you read that right snacks are on us, unlimited refills in the office! So, keep the good vibes going and fuel up anytime.
- Role requires hands-on design execution and active collaboration with the directed to the owner
Compensation & Benefits:
- The Employee’s salary will be THB 18,000 to 22,000 per month, depending on experience and skill level.
- Salary is payable on a monthly basis.
- 12 days of vacation. Vacation days increase based on tenure, with 1 extra day per year of service.
- Employee receives 2 Tops / 2 Bottoms per collection.
- Employee discount: 20% off products, 6 times / 3 months, as per company policy.
- Social Security Fund in process.
- Salary is paid every 25th of the month.
